Employment opportunity: Finance and Administration Executive.

Reporting to the Group Chief Financial Officer, the Finance and Administration Executive is expected to drive best practices in finance and administrative functions within the organization’s branch in Libya to maximize efficiency and growth Finance related responsibilities will include:

 

*   Be responsible for day-to-day accounting and ensure upkeep of day-to-day accounting records;

*   Be responsible for reconciliation of cash books (cash and bank)

*   Deal with and maintain appropriate records and systems for daily cash transactions, ensuring accurate upkeep of relevant documentation and allocation of expenses accordingly;

*   Coordinate with Operations for the collection of relevant information as may be required from Head Office

*   Coordinate with and serve as first point of contact for finance matters with both clients and creditors

*   Responsible for managing client balances and collections of receipt.

*   Assist with end of month routines, including accruals and pre-payments, leading up to monthly trial balances.

*   Ensure sound cash management of local bank accounts and maintains petty cash fund.

*   Process cash disbursements in accordance with financial management policies and established approval levels.

*   Process payroll, remits tax and other government contributions and reports to our local (Libya) tax consultants

*   Assist in ad hoc tasks, reports, and any other duties assigned by the Group CFO

 

Administration related responsibilities will include:

*   Create, edit and maintain office records (hard-copy files and digital) as required.

*   Oversee administration of human resources, including but not limited to, set up and maintenance of personnel files, assisting with orientation procedures, ensuring completion and processing of correct and required documentation in compliance with local legislation.

*   Coordinate and plan travel arrangements (incoming & outgoing) including permits, passes, visas, coordination of flights and logistics in country arrangements and monitor travel expenditures.

*   Communicate effectively with internal and external personnel and and customers.

*   With support from the Public Relations Officer and our Libyan partner, ensure compliance with relevant local regulations and bring to the attention of the management areas of non-compliance.

*   Update management with changes or new governmental processes

 

Requirements & Skills:

*   At least 5 years work experience in finance with a strong administration background;

*   Proficient in MS Office applications, with particularly good working knowledge of Microsoft Office and Excel;

*   Able to communicate in English and Maltese. Knowledge of Arabic would be an asset;

*   Be diplomatic, patient and persistent;

*   Highly organized, a pro-active self-starter, with high level of autonomy at work

*   Be a team player with excellent written and verbal communication skills

*   A proven track record in managing deadlines

*   Able to work in a multicultural environment with an understanding of relevant customs and courtesies as well as an ability to relate to local cultural sensitivities (experience in the Libya will be a distinct advantage)
The position requires the person to be based in Libya on a rotation basis.
